Privacy policy

This policy explains what information BidSyncPro ("we", "us") collects, how we use it, and the choices you have. It applies to the BidSyncPro website and services (the "Service").

1. Information we collect

• Account information — name, email address, company name and a hashed password when you register.
• Saved searches & alerts — the filters you save so we can send your daily alert emails.
• Billing information — handled by Stripe. We never see or store your full card number; we keep only your subscription status and Stripe customer reference.
• Company profile — business details you optionally enter to power bid matching and proposal drafting (such as NAICS/PSC codes, capabilities, past performance, certifications, service geographies, employee count and revenue range). You choose what to provide; you can edit or clear it anytime from your profile page.
• AI inputs — the profile details above plus messages you send to the AI assistant, which are processed to generate the response you requested.
• Usage data — basic technical logs (such as pages requested and timestamps) used to operate and secure the Service.

2. How we use information

• Provide the Service: search, bid details, saved searches and daily alert emails.
• Process subscriptions and payments through Stripe.
• Generate AI proposal drafts and chat answers you request.
• Secure, maintain and improve the Service.
• Send service emails (alerts you set up, billing and account notices). Daily alert emails include a one-click unsubscribe link, and you can turn alerts off anytime from your account. We do not sell or share your personal information (including for cross-context behavioral advertising).

3. Service providers

We share data only with the providers needed to run the Service:

• Stripe — payment processing (subject to Stripe's privacy policy).
• Anthropic — AI features; your prompts are sent to the Claude API to generate responses.
• Email delivery provider ([EMAIL PROVIDER, e.g. Postmark]) — to send the alert and account emails you request.
• Google Analytics — if you opt in to analytics cookies, aggregate usage statistics (subject to Google's privacy policy). Used only to improve the product, with IP anonymization on and no advertising features.

4. Cookies & analytics

We use a small number of functional cookies to run the site, plus optional Google Analytics 4 for aggregate usage statistics. Analytics loads only after you opt invia the cookie banner or Cookie Settings, runs with IP anonymization, and is never used for advertising or cross-site tracking. 5. Data retention & deletion

We keep your account and company-profile data while your account is active so the Service works for you. You can edit or clear your company profile at any time from your profile page, and you can delete your account (or ask us to) by emailing support@bidsyncpro.com.

When you delete your account, we delete or anonymize your personal information — including your company profile, saved searches and AI inputs — within 30 days, except where we must retain limited records for legal, tax, billing or security reasons (for example, Stripe payment records we are required to keep). Automated backups are purged on their normal rotation. AI prompts sent to our AI provider are processed to generate your response and are handled under that provider's data-retention terms; we do not use your inputs to train models.

6. Security

Passwords are stored using industry-standard one-way hashing (PBKDF2), transport is encrypted with TLS, and access to production data is restricted. No system is perfectly secure, so please use a strong, unique password.

7. Your rights

Depending on where you live (for example under the CCPA or GDPR), you may have rights to access, correct, export or delete your personal information, and to object to or restrict certain processing. To exercise any of these rights, email support@bidsyncpro.com and we will respond within the period required by law.

8. California privacy rights (CCPA/CPRA)

If you are a California resident, you have the right to know and access the personal information we collect, to delete it, to correct inaccuracies, and to opt out of the sale or sharing of personal information. We do not sell or share personal information and have not done so in the preceding 12 months. We also will not discriminate against you for exercising these rights.

The categories of personal information we collect, the sources, and the purposes are described in sections 1–2 above. To exercise any right, email support@bidsyncpro.com; we will verify your request and may act through an authorized agent you designate in writing.

9. European & UK users (GDPR / UK GDPR)

We process your personal data on these lawful bases: performance of our contract with you (to provide the Service), our legitimate interests (to secure and improve the Service), and your consent (for analytics cookies and any marketing). You have the rights to access, rectification, erasure, restriction, portability and objection, and the right to lodge a complaint with your local supervisory authority.

Our providers (Stripe, Anthropic, Google Analytics, and our email provider) are located in the United States, so your data may be transferred internationally; such transfers rely on appropriate safeguards such as the EU Standard Contractual Clauses. We retain data as described in section 5.

10. Children

The Service is for business users and is not directed to children under 18. We do not knowingly collect information from children.

11. Changes to this policy

We will post any changes on this page with an updated date, and for material changes we will notify you by email or an in-product notice.
